Harlem Medical is a progressive medical services provider in the U.S. They are a multi-speciality group providing highest level of care to patients. For convenience of patients they provide primary care, specialty care, and ancillary services across seven locations. They aim to foster continual improvement in urban community health by delivering quality and accessible medical care in a cost-effective manner.

Harlem did not have a centralized Customer Relationship Management (CRM) tool to manage patient EMR/EHR and a Human Resource Management (HRM) software to manage employee data.

The absence of a CRM was often causing delay in treatment and claim settlement, affecting the overall care experience of patients. Their legacy system didn’t support functionality such as:

  • Patient EMR/EHR (Electronic Medical Records) management
  • Patient communication log management
  • Patient chronic care management (CCM) data
  • Patient appointment management
  • Patient insurance database
  • HL7 interface to sync patient EMR with legacy system
  • Employee management
  • Employee audit logs

Scope of Engagement

Harlem medical wanted to implement a cost-effective centralized CRM application, which would support:

  • Appointment data management
  • Appointment follow up by making/receiving a call through the CRM
  • Patient communication log
  • Patient call recording and voicemail
  • Reminder/confirmation via SMS
  • Patient chronic care management (CCM) data
  • Patients’ insurance data
  • Integrated web browser based softphone with capability of call transfer, hold, and hang up.
  • Automated call recording and SMS history

They also wanted to implement an HRM to manage employee records and audit logs.

How DRC Systems Helped?

Implementing a CRM in a Healthcare setting involves technical expertise as well as domain expertise. DRC Systems has experience of working on such engagements with several other healthcare providers, so we knew how exactly to pursue this project, while adhering to various FDA regulations and compliances.

We proposed a PHP based solution along with other open source tools to help client to keep costs low.

Right from requirement gathering to custom development in PHP to QA we worked closely with the client to ensure there is no gap between expectations and outcome delivered. We developed a customized CRM and HRMS to be implemented across seven client locations in the U.S. It was integrated with the open source MySQL database. To enable the CRM to make and receive calls and send/receive SMS via softphone we integrated Plivo API and WebSDK.
